Overview

The Provider Portal is a web-based application designed to support providers in managing two contractual requirements related to caregivers.

  1. Compliance Management for Caregivers Training
    Per Section 5600 Sexual Abuse Caregiver Training 24-Hour Residential Child Care Requirements, individuals who provide direct care are required to complete the Preventing and Recognizing Youth Sexual Abuse training before they are permitted to provide direct care to children in DFPS Conservatorship.
  2. General Residential Operation (GRO) Caregivers Attachment A
    Caregivers in General Residential Operations (GRO) are required to electronically certify receipt of an Attachment A - Child Sexual History Report which documents any history of sexual victimization, sexual aggression, or sexual behavior problems for each child. The utilization of the Provider Portal for this function is not available nor applicable to non-GRO providers, such as Child Placing Agencies, or GRO caregivers assigned to a child placed via a Child Specific Contract.

The Provider Portal has the following functionalities:

  • Providers register and manage their Secondary Administrators and Caregiver information.
  • Providers generate training completion reports. Training completion information is sent from the Caregiver Training Hub to the Provider Portal to allow providers to monitor training compliance.
  • GRO Providers assign caregivers to children to allow the caregiver to electronically review and certify Attachment A reports.
  • GRO Providers manage Attachment A compliance.

Note: Training is NOT taken via the Provider Portal. Training courses are available via the Caregiver Training Hub.

Required Users

The Provider Portal is accessed and utilized by.

  • Providers to identify staff who serve as Primary and Secondary Administrators for their organization’s account.
  • GRO caregivers must have an account to have access to Attachment A documents.

Access the Provider Portal

DFPS establishes accounts for all providers and grants access to a Primary Administrator. The Primary Administrator will grant access to Secondary Administrators within their organization. All Administrators can create an account for their caregivers. If you have an account and need the URL to the Provider Portal, please contact your Administrator or send an email to DFPSAttachmentAVerification@dfps.texas.gov.

Need Help

Forgot Username or Password Assistance:
  • If you cannot remember your username, your Administrator can provide you with your username.
  • You can independently retrieve your username or password, on the login page by clicking the Forgot Username or Forgot Password link and follow the instructions. Refer to the job aid below for additional information.
Technical Assistance:
  • Administrators: If you have technical difficulties, the provider should submit a request for an IT ticket by calling the DFPS Help Desk at (877) 642-4777.
  • GRO Caregivers: If you need technical assistance, please contact your Primary or Secondary Administrator for guidance. If further assistance is needed, the Primary or Secondary Administrator may contact the DFPS Help Desk.

  • Administrators: If you have compliance related questions, please contact your contract manager.
  • Caregivers: Any question or concern you have related to compliance with Preventing and Recognizing Youth Sexual Abuse training, please direct the question to your Primary or Secondary Administrator.

DFPS Help Desk

  • When contacting the DFPS Help Desk, select the asterisk (*) to bypass the required employee ID input, and then select 6 to reach a representative.
  • Be thorough when describing your problem or question. The Help Desk can help you faster when you provide the following information:
    • Indicate you are working in the Provider Portal
    • Type of profile you are struggling with (Primary Admin, Secondary Admin, Caregiver)
    • Your role
    • Screenshots of any error messages, as these are extremely helpful as well.

FAQ

1. I have technical issues with completing my training and have contacted the DFPS Help Desk for assistance. I am concerned about being cited for training non-compliance.

If you have an open IT ticket, the ticket number should be provided to the DFPS staff member conducting the monitoring. Upon verification, a non-compliance will not be issued if it is directly related to the item that DFPS is reviewing.

2. I am getting a blue box error message which states authentication error: we cannot log you in. What should I do?

For best performance, copy the Provider Portal link and paste it into one of the following browsers: Microsoft Edge, Google Chrome, Firefox, or Safari. Internet Explorer is not recommended. Also try deleting your internet browser history. Under Resources, there are instructions on how to delete your browser history.

3. I have an account in other DFPS applications such as Awake Check, but I am having trouble creating an account in the Provider Portal. Who should I contact?

If a person is registered in another DFPS Salesforce App, such as Awake Check, please call the DFPS Help Desk at 877-642-4777. You cannot use the same email for both applications, and you will receive an error message. We can fix this on our end for you.

4. How will the Provider Portal be maintained? Who is responsible for caregivers?

Administrators are responsible for managing all caregivers. Each provider is responsible for identifying its current caregivers in the Provider Portal. Providers must enter their caregivers in the Provider Portal before caregivers can create an account in the Caregiver Training Hub.

Each provider must maintain the current status of each caregiver through the Provider Portal in real time, which means entering the caregiver’s effective date of separation from the Provider Portal.

5. I did not receive a link to register my organization as a provider. What should I do?

DPFS creates an account for the Primary Administrator only. If the Primary Administrator did not receive the link, please reach out to the DFPS staff who were assisting you with creating your account. If a Secondary Administrator or GRO caregiver does not receive a link, please contact an Administrator for your organization.

6. Password reset is not working, or I am locked out of my Provider Portal account. What should I do?

If you are locked out of your account, please contact your Administrator. If further assistance is needed, your Administrator can contact the DFPS Help Desk at 877-642-4777.

7. How do I delete a caregiver record from the Provider Portal?

Primary or Secondary Admins can "deactivate" a caregiver by entering a Separation Date, but they cannot delete a caregiver.

8. How do I run a report to review compliance training dates?

This report can be generated in the Provider Portal via the Course Completions Statuses tab. If detailed assistance is needed, please refer to the Administrator - Provider Portal Job Aid.

9. Can I have access to more than one Provider Portal account using the same email address?

You cannot use the same email for multiple accounts, and you will receive an error message. If a person is registered in another account, please use a different email or contact the DFPS Help Desk at 877-642-4777.

10. Why did I receive an error message stating "email not found”?

Contact your Administrator and ask them to review your email address on your Provider Portal account to confirm what they entered is accurate. If not, the Administrator will need to update the information on the Provider Portal. If you continue to have this issue, the Administrator should contact the DFPS Help Desk.

11. Why am I seeing the MyDAP page and not the blue box to login?

This is a timing issue. Please close the website. Use your link to open the site again. Once you enter your username and password, you should see the Provider Portal page.
